Summary

This article provides information on how to complete company verification in Ireland when proof of beneficial ownership is requested for your company in the Flipdish portal.

Requirements

To update this information, you will need to be Owner role in the Flipdish Portal.

This information is relevant for companies in Ireland only.

Why is proof of ownership requested?

When you setup a business account with Flipdish, the details are reviewed for security, legal and financial compliance by our payments partner Stripe.

Stripe will compare the details submitted via the Flipdish portal to the Central Register of Beneficial Ownership database in Ireland (https://rbo.gov.ie/).

If they find a mismatch in the information submitted, or do not find any company with those details registered, then they will not allow your company to conduct business on the platform.

How will I find out if I need to submit proof of beneficial ownership documentation?

You will see a banner in the portal such as the example below in the banking section.

You will also receive an email similar to the one below requesting more information.

Step by Step Guide

Follow the steps below to complete this verification.

Step 1

First you will need to ensure you have registered an account with the RBO, and that you register your beneficial owners there.

You will need a screenshot of this to upload to the Flipdish portal and Stripe verification form.

If you or a representative of your company already have an RBO account and have registered your beneficial owners, then simply login.

If you have not registered for RBO, or registered the beneficial owners, then you will need to do that.

To obtain the screenshot details, you don't actually have to be the owner of the business, anyone with a registered account can get the screenshot below.

Step 2

Once logged in to the RBO and registration of beneficial ownership is complete and available, you will be able to search for it in the RBO.

At the home screen, search in the top bar using your Company Number or company name.

Number is best, as there may be multiple company's with similar names to your business.

Your limited company number and name is found on your company registration certificate which you received when you registered your business with the CRO. It can also be found on your year end accounts which your accountant prepares.

Once the search is complete, you should be presented with the company search result like the example below.

Take the screenshot of that and save it to your computer.

NOTE

The screenshot must be high quality and contain MATCHING information to what you entered when filling out the form in the portal for company and business info.

Document Standards:

  • Documents must be clear and large enough to read.

  • Documents can be uploaded in .png, .jpg, or .pdf format.

Required Information

  • Legal company names, beneficial owner names, and beneficial owner information must match the Stripe information.

  • Each account must have at least one beneficial owner.

Step 3

Login to the Flipdish Portal and go tohttps://portal.flipdish.com/finance/bank-accounts

Click on the bank account that requires additional information, marked with an orange warning, example shown below.

Step 4

In the bank account view, you will see this banner at the top.

Click the button "VERIFY WITH STRIPE".

You will be presented with a warning dialogue as below.

Select "CONTINUE TO STRIPE"

Step 5

You will be presented with the Stripe business verification screens, asking to upload the proof of ownership documentation.

Here you will upload the image you captured from the RBO website.

Click "upload" button and a screen below will be displayed.

Click on the option "Screenshot from RBO Website"

Press "Continue".

Step 6

See screen example below. You can now upload the image you captured from the RBO which shows the summary of the beneficial owners details.

Once uploaded and updated - Click "Submit document" to confirm and finish the verification.

After that, click "Save" or "Confirm" to finish the process.

Step 7

It is a good idea to double check the information you previously entered when providing company verification info.

Often, re-verification is required because of a typo or mismatch of information entered during this form completion.

Press the "Edit" button beside business details.

Step 8

On the edit business details screen below, check the all fields contain the correct information.

1 - Legal business name

This MUST be the limited company name, as registered with the CRO and found on the company incorporation certificate.

If you are unsure, you can search for your company number and name in the link here https://core.cro.ie/.

If you don't have your company incorporation documents to hand, you can also check your annual accounting returns, which should have the company number on them.

It must also be the exact name that was listed in the RBO (https://rbo.gov.ie/).

Common errors leading to failed verification

  • Entering a brand or business name, name of the store or restaurant instead of the legal registered name of the limited company.

  • In the example above, the legal business name is "Jane's Food Limited" but the restaurant or business trading name is "Jane's Burgers".

2 - Company number

This number entered here must be an exact match to the company number listed in the CRO and RBO.

If the number does not match what is in the CRO or RBO, then verification will be rejected.

3 - Business name (Optional)

This is not used for verification, but it is important to enter this data.

It is displayed on receipts and invoices and payment references.

4 - Registered business address

This MUST match the address of the limited company on the CRO and RBO.

This may not be the same as the restaurants operating address.

If there is a mismatch in the registered address in Stripe versus the RBO, the verification will be failed.

Common Errors

  • Enter a misspelling or partial information in the address field.

  • Enter the restaurant address which might be different than the registered limited company address.

  • Enter the address lines in the wrong fields, such as the number in the top, or an extra address line that was not in the registered address, such as a street name or province.

Confirm & Save

Once you have double checked all these pieces of information,

Press "Save" to continue.

Step 9 - Verification Pending

You will then be taken back to the Flipdish Portal and you should see a status like the example below.

Your account will be reviewed within 3 business days. If it fails verification, you will be asked to check all details and resubmit.

The banner in portal will appear on the bank account, and you will receive another email asking for the details again.

Conclusion - Verification Complete

Once your account is verified your account will look like this in the Flipdish Portal.

I submitted my RBO screenshot, but it is not being accepted for verification?

1. Check the screenshot.

It should look like the image below.

Make sure to include the RBO header, and all details shown.

2. Check that the “Reg Number” matches the “Company Number” in the Stripe Form. If it is not matching, you cannot obtain verification.

3. Check the “Reg Name” matches the “Legal Business Name” in Stripe.

If it is not matching, you cannot obtain verification.

4. Check the address. They should match as closely as possible.

If it is not matching, you cannot obtain verification.

5. Check is the Number of Beneficial Owners.

If in Stripe, you have only listed one beneficial owner (Director, Shareholder, Owner) but there are more than one in the number listed in the RBO screenshot, then you will fail to obtain verification.

There is only 1 director / owner in Stripe, but the RBO states there are 2.

This would not pass verification.
